What can the StrataMax integration do?


Once connected to your StrataMax account, you can import selected (or all of) your sites, along with the documents and lot owners for each site.

How do I set up my StrataMax Integration?


Configuring the API connection

To setup Integration between ResVu and Strata Max will require the following:

  • StrataMax Base API

  • StrataMax API Key

The Base API for Strata Max is https://ds.stratamax.com.au

Note: do not include the "/" at the end of the URL

The API Key can be obtained by reaching out to your Strata Max Account Managers. They will provide a form to complete and then provide an API Key.

Once the API Key has been received, a Super Admin can log into the ResVu Company Dashboard > Integrations > Strata Max Settings

Then insert the Base API and the API Key.

User Profile Configuration

This option is used to inform users how to update their details. Place a link to your StrataMax portal in the User Profile Link and lot owners will be directed here when trying to change their profile details from the resident application.

Committee Member Configuration

  • Add imported committee members to a default Committee group will add any imported users flagged as Committee Members to a new group in their site. Learn more about Committee groups here. Be sure to add and configure a new group immediately below the toggle options.

  • Add imported committee members as Committee Representatives and Admins will make any imported committee member a site admin, meaning they can log in to the site admin console for their site.

Note: If you wish to lock certain features for these Committee members, you can do so by modifying the permissions of the group they get added to (see above). A common configuration is to only enable access to the CommitteeHub module.

Importing Sites


To being with, navigate to the StrataMax integrations page > Import Sites tab.

Setting your search filters

You can use these filers to narrow down the sites you wish to see from StrataMax. This is useful if you're rolling out a specific section of your portfolio at a time.

Search your sites

Once the optional filters are applied, click the Fetch Sites button. This will return a list of sites from StrataMax that match your filters, or all of them if you didn't apply any filters.

Note: This step doesn't import your sites, only returns the list of sites from StrataMax for viewing. Also, be aware that previously imported sites will not show in this table - they can be found in the Previously Imported Sites table below.

Importing sites

From the list of returned sites, you can:

  • Import an individual site by clicking the Import Site button

  • Select multiple sites (or all) using the checkbox, and then click Import Sites from the bulk actions dropdown.

When this happens, a new site will be created in ResVu and it will remain linked to the site in StrataMax. See here for the fields we import. The site will then be moved into your Previously Imported Sites table where you can import users and documents.

Note: This step doesn't import any users or documents. You'll need to follow the steps below for this to occur.

Importing Documents


You can import documents by Serch Term or by Category. Categories are the preferred method of importing documents as they allow for more control and the option to apply a display label in the resident application.

Filtering by categories

In ResVu

  1. Navigate to Company Dashboard > Integrations > StrataMax

  2. Click the StrataMax API Settings button > Document Import Configuration

  3. Toggle Enable Document Import

  4. Select a category to add from the dropdown

  5. Add an optional display label. This will be shown in the resident application instead of the category name.

  6. Apply a date filter to only import documents updated from a certain date onwards

  7. Choose some user types if you'd like to restrict access to this type of document. Selecting none will make it visible by all user types.

Filtering by search terms

In Doc Max

  1. Create ResVu Tag (Category) in Doc Max. System administrators have access to create new categories.

  2. Tag relevant documents (e.g. meeting minutes) with the ResVu category.

In ResVu

  1. Enter ResVu in the Document Search Term field from Company Dashboard > Integrations > Strata Max > Document Search Term. Only one search term can be entered in this field.

  2. ResVu will import documents every 24 hours from Doc Max that are tagged with the ResVu category.

Enabling document imports for a site

Once you've configured your documents and applied the optional user types, navigate to the Import Users From Sites tab and search for your desired site. Toggle the Scheduled Docs Import option next to the site.

This means the next time the scheduler runs, the documents for that site will be imported and shown in the MyHome section of the resident application.

Importing lot owners


Be sure to configure the Committee member options in the settings page before importing your users. While optional, it's a good idea to do this before importing users if you wish to give Committee members access to CommitteeHub and/or the admin console.

To import your users from StrataMax:

  1. Navigate to the StrataMax Integration page

  2. Select the Import Users From Sites tab

From here, there are two ways to import users

  1. Turn on the Scheduled Users Import toggle. This will automatically import all the users for that site the next time the scheduler is run.

  2. Click the Fetch Users button. This will show you a list of all the users in StrataMax for this site. From here, you can manually import individual users, or select multiple (or all) users and import them using the Import Users button from the bulk actions dropdown.

Note: if you enable the Scheduled User Import toggle, even after importing individual users, all users of the site will be imported when the scheduler is next run. To stop this from happening, please see below.

Disabling import for a specific lot

If there's a user that doesn't need to be imported into the ResVu system yet (e.g. the lot is still owned by the developer) you can toggle the Disable Importing option against that user in the Import Users step. This will "skip" the user when the scheduler runs and won't import them into the system.

Once the lot is ready to be imported, simply turn this toggle off. You can then manually import the user, or they will automatically be imported the next time the scheduler is run (providing the scheduler is enabled for this site).

Importing Committee Members

All committee members in StrataMax will be imported with the user type of Committee Representative (CR). If enabled in the API settings, they may automatically be added to the committee group and/or have access to the admin console.

Ensuring user details stay updated

To ensure any changes in StrataMax are reflected in the ResVu platform (e.g. changes in user information or ownership) you'll need to enable the Scheduled Users Import toggle against the site. This will, at a minimum, run once every 24 hours and ensure user details stay updated and transfers of ownership are reflected in the system.

Frequently asked questions


How does the name get imported?

We split the name by the first space and assign the first part of the name as the First Name and the second part as the Last Name. For example:

  • Name in StrataMax
    John S Investments Pty Ltd

  • Name in ResVu
    First: John
    Last: S Investments Pty Ltd

Are all owners against a lot imported?

As customers to date have had poor data across their second and subsequent email fields, we import the first email from a lot into our system. This is because the MyHome section is displaying sensitive financial Levy information.

As a result, all subsequent emails should simply be invited to the platform manually (or via a site code) as an owner so customers don't have to risk account info being shared with users not tied to the ownership.

Soon, StrataMax will be releasing a new way to manage multiple users against a lot. When this feature is released, we will update our system to also import multiple users against a lot. To learn more about this change, please get in contact with StrataMax.

What happens to users who own multiple lots within the same site?

Currently, we cannot link the same user to multiple lots within the same site. As mentioned above, we will look to introduce this feature alongside the release of the new user management approach from StrataMax.

What happens to users who own multiple lots across different sites?

When imported for the additional site(s), will assign this same user to the new site and they can access this site (including the MyHome section for the additional lot) by switching sites within the resident application.

Will manually added/signed-up users be matched during import?

No, the only user who can access the MyHome section and lot levy information are those who have been imported via the StrataMax integration. Users already in the system won't be "linked".

What is the Scheduler?

The scheduler is an automatic function in the ResVu system that runs every 24 hours for your account. This will check the StrataMax system for any changes in Site details, Documents, or Users. Think of this as a syncing feature to ensure all the details are up-to-date across both systems.

Soon, you'll be able to manually run the scheduler for individual sites. For example, if a document is uploaded in StrataMax, you'll click this button to bring the document into the site almost instantly (instead of waiting until the next day).

What happens when someone updates their details

When the scheduler is run, our system will check to see if any details have changed in StrataMax. You can see what details get imported and checked here. If there's a change, it'll automatically update in the ResVu platform.

This included the email address used to log in to the system, meaning if a user updates their email address in StrataMax, they'll need to use that new email to log in to the resident application.

What happens when there's a change of ownership?

When the scheduler runs, we'll see there's a new User ID against the lot. As such, we'll remove the old users from that site (meaning they no longer have access to the site, lot information, and won't be able to login to the resident application).

If they are only a part of one site, they'll no longer be able to log in to the resident application. If they are a part of another site, the old user will still have access to the resident application for the remaining site(s).

Are changes in the ResVu platform reflected in StrataMax?

No, any changes you make to a user, site, or document are not pushed back to the StrataMax system at this point in time. This integration is currently a one-way system. If the scheduler is enabled for the site, then these changes will be overridden by the data in StrataMax the next time the scheduler is run.

For example, if you rename a site in ResVu, it will return to the original name within 24 hours when the scheduler is run. This means in order to make any changes, please do so from StrataMax.

What happens if I delete a site in ResVu?

If you delete a site in ResVu, it will be removed from your ResVu account and all the users against that site will also be deleted. In the StrataMax integrations page, the site will be removed from your Previously Imported Sites list and returned to the search results when fetching a site.

This means you can re-import the site in the future if you wish, however you'll need to also re-import the users, plus the site code will be different.

What happens if I delete a user in ResVu?

If you delete a user from within a site, they'll be added to the Deleted Users list under User Management, and no longer have access to that site. If they are a part of multiple sites under your account, they'll still be able to log in to the platform and access those sites.

If you delete a user from account management, they'll be removed from the system entirely - including all sites they are assigned to.

When the user scheduler is run next, they won't be imported again either. If you'd like to re-import this user, please get in touch with the ResVu support team.

Where will my documents be shown?

Resident App

  • Imported documents will be visible within MyHome > Documents

Admin Console

  • Imported documents will be visible within the File Browser

  • Imported documents will not be stored in folders unless manually created with ResVu Admin Console > File Browser > + New Folder

  • Documents will not have permissions set unless applied through ResVu Admin Console > File Browser > Set Permissions
